Our client came to us with a challenge: their existing survey system was no longer meeting their needs. They wanted a modern solution integrated with Power Apps, which we had already implemented across other areas of their business. Their vision was to create a streamlined system to design, assess, and distribute surveys directly from their website while enabling Power Apps as a dynamic backend to manage survey content, feedback, and approvals.
The integration we developed combined SurveyMonkey’s survey-building power with the customisability of Power Apps, transforming the survey creation and distribution process into a streamlined experience with seamless collaboration between authors, admins, and assessors.
To support survey creation, Power Apps was implemented as a management platform where survey authors could build their surveys on the client’s website. Power Apps then acted as the engine for managing survey drafts, comments, and scoring from other team members before a survey was released. This ensured each survey met the client’s quality standards, providing an efficient review and approval workflow.
How It Worked
- Survey Creation and Approval: Authors designed survey drafts on the website, and these drafts were held in Power Apps. Team members could comment on or score each survey to provide feedback before final approval. Power Apps also provided an admin function that allowed survey assessors to oversee survey drafts, communicate with authors, and manage the approval process.
- SurveyMonkey Integration: Once a survey received approval, Power Apps transferred the selected audience for that survey into SurveyMonkey and initiated the necessary connectors. This integration allowed survey authors and admins to preview surveys, ensuring accuracy before distribution. Power Apps automated audience selection and streamlined the setup for SurveyMonkey distribution.
- Response Collection and Reporting: After a survey closed, Power Apps collected responses from SurveyMonkey and stored them in Microsoft Dataverse. Results were made available through a web portal, allowing survey authors to review the data and generate reports on survey performance and insights. This eliminated manual data handling, provided real-time access to insights, and saved significant time on data processing.
